Booking Terms & Conditions

1. Definitions

1.1. “We”, “Us” or “Our” refers to BLACK BOOK LOCATIONS, a company registered in England and Wales under Company Number: 12879511 with a registered office at Parkhill Studio, Walton Road, Wetherby, LS22 5DZ.

1.2. “Hirer”, “You” or “Your” means the company from which we are accepting a booking and who is required to pay for the booking.

1.3. “Booking” refers to the agreement between you and us, as specified in the Booking form.

1.4. “Property” or “Location” means the property you are hiring as specified in the Booking form.

1.5. “Property owner” refers to the individual owner or representative for the Location.

2. Contract

2.1. A booking becomes binding once we receive the completed booking form and confirm it in writing.

2.2. We act on behalf of property owners, meaning your contract is with Black Book Locations. Any agreements made with the property owner do not alter the terms of this booking.

2.3. By booking, you agree to hire the property on the specified date(s) and for the agreed purpose and price.

2.4. If the location becomes unavailable after confirmation, we will either find an alternative or refund 100% of the hire rate and booking fee. We are not liable for further compensation.

2.5. Property owners cannot change the terms of this booking.

2.6. Images on our website are illustrative. Décor and furniture may change—please check requirements before booking.

3. Terms of Use

The location is hired solely for use as a film, photography or TV location, or otherwise as agreed in writing. This is not a tenancy agreement.

During the hire period, you agree to:

  • Supervise all persons and property on site.
  • Not alter the property without permission.
  • Report any damage.
  • Not exceed the agreed number of attendees.
  • Permit access to us, the owner, or authorised personnel if needed.
  • Cover all utility costs incurred.
  • Vacate promptly at the end of hire.
  • Return the property to its original condition.

Failure to comply may result in additional charges, including further hire fees.

4. Working Hours and Overtime

4.1. Access times are defined in the booking form and cannot be changed without prior agreement.

4.2. Overtime is charged at 20% of the day rate per hour or part thereof.

4.3. Early arrivals or late departures will incur additional charges.

5. House Rules

If house rules apply, they will be attached to your contract. All crew must read and comply. Breaches may halt the hire.

6. Equipment

All equipment and valuables are left at your own risk. We are not liable for loss or damage.

7. Disclosure

If full details of the hire are not disclosed in advance, the shoot may be suspended pending renegotiation.

8. Drop Offs and Pick Ups

8.1. Drop offs and pick ups outside the hire date must be agreed in advance.

8.2. Unauthorised activity may incur additional charges.

9. Your Obligations

  • You must notify us of and get approval for any changes to décor or furnishings.
  • You are responsible for reimbursing any losses or damages arising from breach of contract.

10. Cancellation

Confirmed hires cancelled:

  • Within 72 hours: 25% of agreed fee payable.
  • Within 48 hours: 100% of agreed fee payable.

11. Booking Fee

A £150 booking fee is added to every invoice. This is non-refundable in the event of cancellation.

12. Pre-Visits

12.1. You are advised to visit the location before booking. No compensation is due if expectations aren’t met and no visit occurred.

12.2. All provided measurements are for guidance only.

12.3. Paint colours do not form part of the contract.

13. Insurance

You must have Public Liability Insurance of at least £5 million and provide proof upon request. You are liable for any damage caused.

14. Payments

14.1. Invoices must be paid 48 hours prior to the shoot.

14.2. Late payments will incur 8% interest and applicable late fees.

14.3. Location releases will not be signed until invoices are paid in full.

15. General

15.1. Governing Law: This contract is governed by English law.

15.2. Jurisdiction: All disputes fall under the exclusive jurisdiction of the courts of England and Wales.

15.3. Third Party Rights: The property owner has the right to enforce terms of this contract.
